STUDENT RECORDS

Confidentiality of Records

The Family Educational Rights and Privacy Act (FERPA) grants students specific rights with respect to their educational records. Those rights include the right to inspect their records, the right to request correction of incorrect records, the right to control access to records by persons not otherwise authorized for legitimate access by the Whidbey Writers Workshop (Instructors, the Program Director, the Services Coordinator among others have a legitimate interest in a student's educational records; Head of the Food Service normally would not).

FERPA does allow the release of the student's name, field of study, participation in Whidbey Writers Workshop activities, dates of attendance, degrees and awards, date of birth, and the most recent academic or training institution attended by the student prior to the Whidbey Writers Workshop. Unless the Whidbey Writers Workshop receives prior written notification from the student, this information may be released by the Whidbey Writers Workshop at any time. The Whidbey Writers Workshop is also allowed to release educational records to other educational institutions in which the student seeks or intends to enroll.

Emergency Messages

During Residency Periods, emergency messages will be accepted and delivered to students as quickly as possible. Non-emergency messages will be accepted only as requests for students to call back to specific telephone numbers.

Student Identification Numbers

Randomly computer-generated numbers are used as student identification numbers for all purposes. Students requesting assignment of another nine-digit identification number will be accommodated where possible.

Transcripts

Official transcripts are complete copies of the student's academic record at the Whidbey Writers Workshop. They bear the Workshop's official seal, are signed by the Program Director, and are mailed directly to the receiver at the student's request. There is no charge for the first two official transcripts; subsequent transcripts are $5.00 each.

Unofficial transcripts are unsigned and unofficial copies of the student's academic record and are used chiefly for advising. There is no charge for the first two unofficial transcripts; subsequent transcripts are $2.00 each.
